Getting started

Which calendars does CalScout use?

Every calendar your device shows in Apple's Calendar app — iCloud, Google, Microsoft Exchange and Outlook, and subscribed calendars. To add an account, go to Settings › Apps › Calendar › Calendar Accounts on iPhone and iPad, or Calendar › Settings › Accounts on the Mac.

Untick a calendar in CalScout's sidebar (or Settings › Calendars) to leave it out, for example a family calendar that shouldn't block your work week.

Why does CalScout need full calendar access?

To find your free times it reads your events, and to hold the times you offer it adds tentative events to your calendar. Both happen on your device. If you said no at first, turn on Full Access for CalScout in Settings › Privacy & Security › Calendars.

Why isn't a time showing as free?

CalScout leaves out times outside your working hours, in the past or within your minimum notice, around buffers and lunch, and on days blocked by an all-day event or an out-of-office keyword. You can change each of these in Settings › Availability. Events marked “Free” in Calendar, declined invitations and cancelled meetings never block time.

Can I change how the message reads?

Choose Grouped by day, Numbered options (so they can reply “2”) or Compact under Style. With CalScout Pro you can also write your own intro, sign-off and a details line, such as a video link, in Settings › Text.

Holds and offers

What is a hold?

When “Hold these times on my calendar” is on, Copy & Hold adds a tentative event for each time you offered, in a calendar called “CalScout Holds”. Nothing else can be booked over them by accident, and anyone who sees your calendar sees you as tentatively busy.

How do I confirm a time?

Open the Offers list, choose Confirm… and pick the time they chose — or just click or tap the hold itself on the week. The hold becomes the meeting, in the calendar you choose, and the offer's other holds are removed.

What happens if they never reply?

Offers lapse after three days by default, and their holds are removed. Change that in Settings › Holds, or press Release on an offer to free its times straight away.

I deleted a hold in Calendar. Is that a problem?

No. CalScout notices and drops that time from the offer. If you move a hold in Calendar, the offer follows it.

Time zones

How do I show someone else's time zone?

Add a time zone in the sidebar (or Settings › Time zones) and switch it on under “In the text”. Each time then reads in both zones, with the date when it falls on another day for them. CalScout Pro adds a second extra zone, and lets you set where the person you're meeting is and when they work, so times outside their day fade on the week.

I'm travelling. Does CalScout follow me?

By default your times follow your device's time zone. To keep offering times in your home zone while away, set Your time zone in Settings › Time zones.

What does Pro add?

Repeating meetings and calendar invites; group scheduling from pasted availability; a second extra time zone and the people you meet remembered with their hours; presets; your own wording and meeting details; Siri and Shortcuts; widgets; Find Times from the share sheet; and on the Mac, the Services menu, the menu bar panel and its global shortcut.

How does the free trial work?

Start the trial from any Pro feature or from Settings › CalScout Pro. Every Pro feature is unlocked for 14 days on all your devices, and nothing is charged. When it ends, Pro features lock again — anything you made with them, such as presets and repeating offers, stays. The trial can be used once per Apple ID.

Do I have to buy Pro on each device?

No. One purchase unlocks Pro on every iPhone, iPad and Mac signed in to the same Apple ID, and with Family Sharing on, for up to five family members too. On a new device, open Settings › CalScout Pro and tap Restore Purchase if Pro doesn't appear by itself.

Can I get a refund?

Purchases are handled by Apple. Request a refund at reportaproblem.apple.com.

Sync and devices

How do my devices stay in step?

Your settings, presets, the people you meet and your open offers sync through your own iCloud, so an offer made on the Mac can be confirmed from your iPhone. Each device needs to be signed in to the same Apple Account in iCloud. Holds and meetings are calendar events, so they sync the way your calendars already do.

How do I use Siri and Shortcuts?

Say “Find times with CalScout” — CalScout shows the times it would offer and waits for you to go ahead before copying or holding anything (CalScout Pro). “Show my offers in CalScout” opens your Offers. Both actions are in the Shortcuts app too.

Which widgets are there?

Open offers (how many are out and when their holds lapse) and Next free slot (your next open time today, also on the Lock Screen). Add them from the widget gallery. On a locked iPhone, names are hidden. (CalScout Pro.)

On the Mac

The quick panel shortcut doesn't work.

The default shortcut is ⌃⌥Space, which some Macs use to switch input sources. Pick another in CalScout › Settings › General, or turn that one off in System Settings › Keyboard › Keyboard Shortcuts › Input Sources.

Can I start from text in another app?

Yes. Select text where someone said when they're free, then choose Services › Find Times with CalScout from the app's menu (or right-click). On iPhone and iPad, share the text to CalScout. (CalScout Pro.)

Privacy

Does my calendar leave my device?

No. CalScout reads your calendars on your device and doesn't send them anywhere. There's no account and no analytics. See the privacy policy.

What happens to text I paste or share?

It's read on your device — with Apple's on-device language model where available, otherwise with built-in rules. CalScout keeps the times it found, not the message itself.
